    Open vs. Private Team Collaboration

Added by Admin - Tom Wolff , last edited by Admin - Tom Wolff on Oct 03, 2008 12:21

    (None)

Each committee, task force and team may have its own wikispace/forum or may work as part of the principal PIUG wikispace/forum, either within the main flow of the wiki or possibly as a sub-wiki/forum. Overall it would be better to keep open information within the main PIUG wikispace and keep closed or private wiki/forums separate. For example, the Board of Directors and Annual Conference Committee wikispaces have been set up separately from the main PIUG forum; they are listed on the Dashboard. On the other hand, I anticipate the Electronic Communications Committee forum will be within the main PIUG wikispace in order to encourage maximum and open participation; in other words, there is nothing that the ECC would do or say that isn't open to all wiki participants and no membership restrictions will be applied. I would anticipate that would be the case for the Patent Offices Committee, Membership Task Force and China Interest Group based on feedback to date. Each of these could have separate open Forum and separate sections in the main PIUG wikispace. All team leaders should consider the needs of your committee, task force, or team regarding open participation vs. closed membership and participation. I expect we will probably also have an option of PIUG-members-only if committee chairs want to limit membership to current, active PIUG members only.

Will we need a separate wikispace or subwiki for your team and controlled membership?

      Hello Tom,

I spoke to the members of the Executive Secretary Task Force today and we would like to have a private sub-wiki for us to do our work. The proposals we will be receiving from our RFP for an Executive Secretary will need to be kept confidential.

Please let me know what I can do to assist and when this is set up.

      Thanks,
      Tony

        Tony:

I will be glad to do this. I would like to wait until perhaps mid-next-week to give the folks at Adaptavist a bit more time to develop the wiki navigaton and formatting. Once things are a bit easier to use and templates set, I will create a private ESTF space similar to the Annual Conference Committee Space.

These are the ESTF members that I added to the defunct Forum:

        CynthiaYang
        JaneList
        KenKoubek
        MartinGoffman
        SuzanneRobins
        TonyTrippe

That means that only Jane and Marty haven't signed into the wiki. Please ask them to do so--and others that I don't know about. When I set up your space, I will give those members access to the ESTF space. I also have to figure out the moderator function. You will be my first test case.

        Tom

Where is the Training Work Group space?

I am co-chair of Certification Work Group and have located those pages and have all the correct permissions. However, I also am on the Training Workging Group (not a chair, just regular member) but I can not find the space/page for this group. It looks like it should be linked to this page (http://wiki.piug.org/display/ettf/PETT+Home) but it is not.

Also, I'm wondering why the Certifcation and Training Working Groups get their own 'Spaces' on the Wiki, but the Mentorship Working Group is a page within the PETT Space.

      Thanks for your answers.

I set up separate Certification and Training Working Groups 'spaces' on the Wiki based on feedback from you and other chairpeople. I did not set up one for the Mentorship Working Group based on feedback from Lucy Akers. If and when Adrienne Shanler and the rest of the Mentorship Working Group want a space, I will be glad to create one for them.

As we discussed via email, your inability to find the Training Working Group space in the Dashboard resulted from my not having added you to the Training Working Group Community. Since that time, the Community Membership functionality has been greatly enhanced. Individual space/community admins can now manage their own membership as explained in the Space Administration Forum in the Community Administration topic. Current and potential committee or working group should work with their chairpeople who can give them proper access rights via their space/community admin functions. PIUG membership rights still must be set up by the site admins, currently just me.
